Responsible for organising your participation to trade shows and exhibitions, congresses, seminars, conferences

 

Tasks I can complete during the whole event life-cycle :

 

//Prepare the Event

 

Identify event opportunities

Book and managing venues, organize facilities

Manage all the event’s details such as booth decor, catering, entertainment,

transportation, equipment, deliveries, customs clearance

Book flights and hotels, select restaurants for staff

Ensure compliance with insurance, legal, health and safety obligations

Set up or update CRM database, SalesForce, Maillchimp, compose invitee list, special guests,

promote to potential visitors and attendees

Select and order promotional material ; work with inhouse or outside marketing team to

devise marketing material and tools

 

//At the Show

 

Install equipment and booth decor

Create an environment for deals to happen

Check electricity and lighting

Liaise with technical trade show staff

Proactively handle any arising issues

Troubleshoot any emerging problems

Presence on booth or behind

Form strategic partnerships with other companies to leverage existing networks

Liaise with press and media to communicate company’s messages

 

//Follow up after Event

 

Send thank you’s and acknowledgements to visitors, partners, etc.

Collect invoices and expenses tickets, bookkeeping

Debrief and plan ahead

 

Please be aware that most trade shows and exhibitions need long term registration and preparation. Best is to plan an annual event agenda one year in advance. Early birds get better conditions.
